Race for Life rules
General
1. Race for Life is a women-only event. Cancer Research UK has the right to ask male participants to withdraw from the event.
2. The Race for Life 2012 entry fee is non-refundable unless Cancer Research UK changes the event venue, time or date and you are no longer able to attend, or if we materially alter or cancel the event. In these circumstances refunds will be issued at the discretion of Cancer Research UK.
3. Any participant wishing to transfer from one event to another can do so for an additional £5.00 to cover the administration of the transfer and the cost of the production and distribution of their new Race pack. This will include their new running number and event details. If you wish to transfer to a different Race for Life event, please call our hotline on 0871 641 1111*.
4. Race for Life is unable to accept any entries on the day due to health and safety reasons. Each event has an allocated capacity that the team must adhere to and the contact details for all participants held in advance in the case of an emergency.
5. By taking part, all participants, volunteers and spectators confirm that they are happy for their names and any video footage, stills or photographs taken during their participation in Race for Life to be used to publicise Race for Life and by Cancer Research UK for commercial and fundraising purposes including, but not limited to, television broadcasts, advertising, publications, marketing material and other documents that may be made available to the public. Photographs of children will not be used in this manner without your written consent. However, we may use images where children are incidentally included for example, of mass participation in the warm-up exercises or on the starting line. By registering an under 16-year-old as an additional entrant, the primary entrant confirms the under 16-year-old’s parent or legal guardian is happy for their images to be used in this manner. No personal details (including names) of an under 16-year-old participant will be used in any publicity materials. Cancer Research UK will not provide any personal details to Third Parties.
6. All participants must write the name and number of a person to contact in case of an emergency and details of any health problems or medication on the reverse of their official Race for Life number, which must be worn on the front of shirts during the event. To help Cancer Research UK save money, please also remember to bring your safety pins.
7. In the case of an emergency Cancer Research UK may use the emergency contact details you provided to us at sign up.
8. Any participant unsure of their physical ability to take part in Race for Life should take medical advice from a general practitioner prior to the event.
9. All participants enter this event entirely at their own risk and Cancer Research UK shall not be liable for any injury or loss that might occur as a result of their participation other than as a result of Cancer Research UK’s negligence.
10. Cancer Research UK takes all reasonable steps to minimise the risk of injury to participants during fundraising events. There is a stringent risk assessment process in place for each and every event which aims to minimise or eliminate the risk to everyone taking part. However, by taking part in this event, you acknowledge that there may be conditions or circumstances beyond our control that can lead to unforeseen risks. If you have any concerns or queries please contact us before agreeing to take part in this event.
11. Entry rules for participants:
Under 16s
- cannot enter individually
- must be entered as an additional entrant, where the primary entrant is over 18 and has the permission of the parent or legal guardian of the under 16-year-old entrant
- must give contact details for the parent or legal guardian
- cannot be a group leader
16 and 17-year-olds
- can enter individually
- do not need parent or legal guardian details
- can be the primary entrant for an additional entrant over 16 and/or a group leader
- cannot enter participants under 16
Over 18s
- can enter individually
- can be the primary entrant for multiple entries
- can be the primary entrant for an additional entrant under 16 and/or a group leader
12. Only registered participants are eligible to take part in Race for Life. Adults and female children over the age of five must be registered by paying the entry fee. Women wishing to bring children under the age of five do not have to register their child and they can come along free of charge. However, parents should be aware that due to health and safety reasons Cancer Research UK is unable to provide Race for Life medals to any child under 3 years old.
13. Race for Life is a non-competitive, non UK Athletics (UKA) endorsed walk, jog or run. UK Athletics (UKA) guidelines strongly advise that people of 15 years and under do not competitively race 10k distances and UKA do not permit entries for 15 years and below in their own events. Cancer Research UK will allow under 16-year-olds to participate in the Race for Life 10k, but they must be accompanied at all times by their parents or legal guardians and are advised to walk the 10k.
14. Any monies raised in connection with Race for Life is held on trust for Cancer Research UK and must be passed to Cancer Research UK, we ask that you do this as soon as practicable after the event. You can:

Please note that we are unable to accept your sponsorship money on the day of the Race for Life event as Cancer Research UK do not have the suitable cash handling facilities to fulfil this process.
15. You have a legal responsibility to ensure that all sponsorship monies/donations received by you for Race for Life are paid to Cancer Research UK.
Please ensure that all sponsorship forms are returned to Cancer Research UK to enable us to claim Gift Aid where possible
16. Calls to our hotline may be monitored or recorded to allow us to maintain our standards of customer service.
17. Use of our website is subject to Cancer Research UK's website terms and conditions.
18. All participants must abide by any rules, instructions and regulations displayed or given on the day of the event by police and officials.
19. All participants wanting to take part in a wheelchair must refer to the hotline or visit their event page on the Race for Life website to see whether the course can accommodate wheelchair access.
20. Unfortunately mobility scooters are not allowed to take part in Race for Life events. The Health and Safety of our participants is very important to us and we cannot guarantee that each type of mobility scooter will be able to manoeuvre all Race for Life course routes.
21. Participants can take part in Race for Life with prams/strollers. All participants who are bringing a pram/stroller to the event should use the pram/stroller to accommodate their child in accordance with Rule 11 above and follow instructions given by the Area Event Manager and officials on the day to include starting the event at the back of the walkers to ease congestion.
A number of our courses at Race for Life venues are not suitable for prams/strollers. To find out if your event is suitable, check your event page or call our hotline on 0871 641 1111* before entering.
22. For health and safety reasons participants arriving late must abide by the instructions and decisions of the Event Manager or their representative at the admin tent.
23. We reserve the right to reduce or alter the Race for Life 5k or 10k course to accommodate any unexpected complications on the day, that may have an impact on Cancer Research UK staff, participants, volunteers and spectators.
24. Participants' supporters and family members spectate at this event entirely at their own risk and Cancer Research UK shall not be liable for any injury or loss that might occur as a result of their attendance other than as a result of Cancer Research UK's negligence.
On the day
25. Cancer Research UK respectfully asks that all participants along with their supporters refrain from smoking at the event.
26. Cancer Research UK respectfully asks all participants along with their supporters do not use aggressive or abusive language or behaviour towards our organisers and volunteers.
27. Due to health and safety restrictions, at venues where two of our events are taking place on the same day, Cancer Research UK reserves the right to refuse entry to those participants taking part in the wrong event.
28. Participants can take part with their dogs at a wide selection of our venues. However, we would ask that you be a responsible dog owner when bringing your pet to a Race for Life event. Please ensure:
- Your dog is kept on a lead, under close control at all times, and any usual equipment (muzzle / harness etc) used to control your dog is employed on the day.
- That your dog has a collar with a clearly identifiable tag.
- You bring adequate water supplies for your dog to keep them hydrated.
- If your dog fouls, please "scoop the poop".
- Please ensure you abide by the instructions given by the Event Manager and officials on the day to include starting the event at the back of the walkers if required
A number of our Race for Life venues do not permit dogs on site. To confirm whether your chosen event allows dogs, visit your event venue page on the Race for Life website or call our hotline on 0871 641 1111* before entering.
29. The contents of the Race for Life goody bags are not suitable for children under the age of 16. If a goody bag is given to a participant under 16, then the bag and its contents are the responsibility of the adult primary entrant.
30. To fulfil our obligations under the Reporting of Injuries, Diseases and Dangerous Occurrences Regulations 1995 should you be treated by the medical provider at the event the data collected on the Accident Form will be held on the Cancer Research UK Accident Database. The information will be handled in accordance with the terms of the Data Protection Act 1998 and for further information please see our privacy policy.
Race for Life 2012 prepay vouchers
31. Each voucher may be redeemed for a place for an eligible person (see above for eligibility criteria) in any one of the Race for Life 2012 events.
32. Vouchers may be redeemed on the Race for Life website, or by calling our Hotline on 0871 641 1111*, during the Race for Life 2012 registration period. The 2012 registration period will close 2 days before the final 2012 Race for Life event.
33. Each voucher may be redeemed by any person (who need not be the person who purchased the voucher) provided that person is an authorised recipient of the voucher.
34. Participation in Race for Life 2012 will be subject to the Race for Life rules in force for 2012.
35. Cancer Research UK cannot guarantee availability of places on any particular Race for Life event.
36. Cancer Research UK will, on a request made no later than 30 November 2012, provide a full refund for vouchers not redeemed at the close of the registration period for Race for Life 2012. Refunds prior to the close of the registration period will be subject to the Race for Life refund policy. No refunds will be paid in respect of any request received after 30 November 2012.
37. Cancer Research UK reserves the right, in the case of force majeure or circumstances beyond its control (in particular technical problems with the Race for Life website) to modify, suspend or cancel the use of vouchers.
38. Cancer Research UK will not be liable to the voucher purchaser or any other person if a voucher is lost, deleted or stolen.
39. Corporate vouchers cannot be used over the phone, online process only.
40. These voucher terms and conditions are governed by the laws of England and Wales.
41. The voucher promotion is run by Cancer Research UK.
Merchandise
42. If your merchandise does not reach you before your event day you are entitled to a refund as long as your order was received 28 days prior to your Race for Life event date.
43. Refunds and exchanges can only be offered on merchandise returned in their original condition within fourteen days of delivery save where such goods are faulty, in which case you should send to us as soon as possible. If you purchased merchandise with your Race for Life entry, we are only able to refund on the price of the merchandise. Your merchandise refund will be processed once the goods have been received at the returns address as outlined on the returns form. It is the responsibility of the participant to ensure all returned goods are received at the returns address. Your statutory rights are not affected by this.

Entry fees
44. Entry fees for 2012 are as follows:
- £14.99 for adults
- £10.00 for children under the age of 16. They must be under 16 on the day of the event, not when entering Race for Life.
- Children under 5 are free of charge
45. Entry fees are fixed unless a promotional or corporate voucher is used which covers all or some of the entry fee.
46. Entry to Race for Life through a Cancer Research UK shop is only valid after full payment of the entry fee, or an equivalent voucher.
Groups
47. A group entry can only be associated with a single Race for Life event; a new group will need to be created if any group wishes to enter multiple events.
48. Once a group has been set up you cannot change the event to which it is associated unless that event is cancelled.
49. Once a participant is linked with a group the participant’s link to that group cannot be removed through the duration of the 2012 series.
