Race for Life rules

General

These Rules apply to Race for Life 5k & 10k and Race for Life Pretty Muddy 2014 events unless otherwise stated.

All participants and supporters must abide by these Rules and any instructions or regulations displayed or given on the day of the event by police and officials.

1. Race for Life 5k & 10k and Race for Life Pretty Muddy are women-only events. Cancer Research UK has the right to ask male participants to withdraw from these events.

2. Entry fees are non-refundable unless Cancer Research UK changes the event venue, time or date and you are no longer able to attend, or if we materially alter or cancel the event. In these circumstances refunds will be issued at the discretion of Cancer Research UK. 

3. Any participant wishing to transfer from one event to another can do so for an additional fee of £5.00 to cover the administration of the transfer and the cost of the production and distribution of their new Race pack. This will include their new running number and event details. If you wish to transfer to a different event, please call our hotline on 0845 600 6050.

4. Entries cannot be accepted on the day to help ensure that the events we run are safe. Each event has an allocated capacity that the team must adhere to and the contact details for all participants must be held in advance in the case of an emergency.

5. All participants, volunteers and spectators agree that they are happy for their names and any video footage, stills or photographs taken during the events to be used to publicise Race for Life 5k & 10k and Race for Life Pretty Muddy by Cancer Research UK for commercial and fundraising purposes including, but not limited to, television broadcasts, advertising, publications, marketing material, personalised direct mail and other documents that may be made available to the public. No personal details (including names) of an under 16-year-old participant will be used in any publicity materials without the written consent of the under 16 year old’s parent or legal guardian.

Cancer Research UK and its authorised partners may appoint third party photographers to take photographs at the events. All participants agree that their photographs may be sent to them, to other people featured in their photographs and to children’s parents/ legal guardians where children are featured in their photos. Whilst photographers will try to obtain parental/legal guardian’s consent before taking images where children are more than just incidentally included, this cannot be guaranteed.

By registering a participant under the age of 16 (or allowing an under 16 year old to take part in an event), you confirm that their parent/ legal guardian is happy for their images to be used in the manner described in this section 5.

6. All participants must write the name and number of a person to contact in case of an emergency and details of anything that should be considered in the event of a medical emergency (such as medication being taken) on the reverse of their official Race for Life number, which must be worn on the front of shirts during the event. To help Cancer Research UK save money, please also remember to bring your safety pins.

7. In the case of an emergency Cancer Research UK may use the emergency contact details you provided to us at sign up and/or the emergency contact details on the reverse of your official Race for Life number.

8. Any participant unsure of their physical ability to take part in an event should take medical advice from a General Practitioner prior to the event. It is not advisable for pregnant women to participate in Race for Life Pretty Muddy events.

9. All participants enter Race for Life 5k & 10k and Race for Life Pretty Muddy events entirely at their own risk. Cancer Research UK and its subsidiaries (such as Cancer Research UK Trading Limited) (“CR-UK”) shall not be liable for any injury, damage or loss howsoever suffered by participants as a result of their participation other than in respect of death or personal injury arising as a result of CR-UK’s negligence.

10. Cancer Research UK takes all reasonable steps to minimise the risk of injury to participants during fundraising events. There is a stringent risk assessment process in place for each and every event which aims to minimise or eliminate the risk to everyone taking part. However, by taking part in an event, you acknowledge that there may be conditions or circumstances beyond our control that can lead to unforeseen risks. If you have any concerns or queries please contact us before agreeing to take part in an event.

11. Entry rules for Race for Life 5k & 10k (NOT Race for Life Pretty Muddy) participants:

Girls between the ages of 6 and 15 years old

  • cannot enter individually
  • must be entered as an additional entrant, where the primary entrant is over 18 and has the permission of the parent or legal guardian of the additional entrant
  • must give contact details for the parent or legal guardian
  • cannot be a group leader

16 and 17-year-old girls

  • can enter individually
  • do not need parent or legal guardian details
  • can be a group leader
  • cannot enter participants under 16

Women over 18

  • can enter individually
  • do not need parent or legal guardian details
  • can be the primary entrant for multiple entries
  • can be a group leader
  • can be the primary entrant for an additional entrant under 16

Boys between the ages of 6 and 12 years old

  • cannot enter individually
  • must be entered as an additional entrant, where the primary entrant is over 18 and has the permission of the parent or legal guardian of the additional entrant
  • must give contact details for the parent or legal guardian
  • cannot be a group leader

Only registered participants are eligible to take part in Race for Life 5k & 10k. Only adults and children aged 6 years old and above can be registered by paying the entry fee.

Women wishing to bring children under the age of 6 do not have to register their child and they can come along free of charge. However, parents should be aware that due to health and safety reasons Cancer Research UK is unable to provide Race for Life medals to any child under 3 years old and parents are advised not to allow children under the age of 3 years old to play with these medals.

12. Entry rules for Race for Life Pretty Muddy only:
Please note that girls must be at least 13 years old on the day of their Pretty Muddy event to take part as courses are not suitable for people younger than this. Unlike Race for Life, boys cannot take part in Pretty Muddy events.  

Girls between the ages of 13 and 15 years old inclusive

  • cannot enter individually
  • must be entered as an additional entrant, where the primary entrant is over 18 and has the permission of the parent or legal guardian of the additional entrant
  • must give contact details for the parent or legal guardian
  • cannot be a group leader

16 and 17-year-old girls

  • can enter individually
  • do not need parent or legal guardian details
  • can be a group leader
  • cannot enter participants under 16

Women aged 18 and over

  • can enter individually
  • do not need parent or legal guardian details
  • can be the primary entrant for multiple entries
  • can be a group leader
  • can be the primary entrant for an additional entrant under 16

Only registered participants are eligible to take part in Race for Life Pretty Muddy. Only women and girls who will be at least 13 years old on the day of their event can be registered by paying the entry fee. Parents should be aware that due to health and safety reasons Cancer Research UK is unable to provide Race for Life medals to any child under 3 years old and parents are advised not to allow children under the age of 3 years old to play with these medals.

13. Race for Life 5k & 10k and Race for Life Pretty Muddy are non-competitive, non UK Athletics (UKA) endorsed walks, jogs or runs. UK Athletics (UKA) guidelines strongly advise that people of 15 years and under do not competitively race 10k distances and UKA do not permit entries for 15 years and below in their own events. Cancer Research UK will allow under 16-year-olds to participate in the Race for Life 10k, but they must be accompanied at all times by their parents or legal guardians and are advised to walk the 10k.

14. Any monies raised in connection with the events is held on trust for Cancer Research UK and must be passed to Cancer Research UK. We ask that you do this as soon as practicable after the event. You can:

  • Pay in your sponsorship money online with your credit or debit card, or call us on 0845 600 6050 with your credit or debit card details.
  • Send cheques made payable to "Cancer Research UK" to:

Please note that we are unable to accept your sponsorship money on the day of the event as Cancer Research UK do not have the suitable cash handling facilities to fulfil this process.

15. You have a legal responsibility to ensure that all sponsorship monies/donations received by you for Race for Life 5k & 10k and Race for Life Pretty Muddy are paid to Cancer Research UK. Please ensure that all sponsorship forms are returned to Cancer Research UK to enable us to claim Gift Aid where possible.

16. Calls to our hotline may be monitored or recorded to allow us to maintain our standards of customer service.

17. Use of our website is subject to Cancer Research UK's website terms and conditions.

18. All participants must abide by any rules, instructions and regulations displayed or given on the day of the event by police and officials.

19. All participants wanting to take part in a wheelchair must refer to the hotline or visit their event page on the Race for Life website to see whether the course can accommodate wheelchair access. Please note that regrettably, Race for Life Pretty Muddy courses are not suitable for wheelchairs.

20. Unfortunately, mobility scooters are not allowed to take part in Race for Life 5k & 10k and Race for Life Pretty Muddy events. The health and safety of our participants is very important to us and we cannot guarantee that each type of mobility scooter will be able to manoeuvre all course routes.

21. Participants can take part in Race for Life 5k & 10k with prams/strollers. All participants who are bringing a pram/stroller to the event should use the pram/stroller to accommodate their child and follow instructions given by the Area Event Manager and officials on the day to include starting the event at the back of the walkers to ease congestion.

A number of our courses at Race for Life venues are not suitable for prams/strollers. To find out if your event is suitable, check your event page or call our hotline on 0845 600 6050 before entering.

Please note that Race for Life Pretty Muddy courses are unsuitable for prams/strollers. 

22. For safety reasons participants arriving late must abide by the instructions and decisions of the Event Manager or their representative at the admin tent.

23. We reserve the right to reduce or alter event courses to accommodate any unexpected complications on the day that may have an impact on Cancer Research UK staff, participants, volunteers and spectators.

24. Participants' supporters and family members spectate at Race for Life 5k & 10k and Race for Life Pretty Muddy events entirely at their own risk. CR-UK shall not be liable for any injury, damage or loss suffered by spectators at a Race for Life 5k, 10k, or Race for Life Pretty Muddy event other than in respect of death or personal injury arising out of CR-UK’s negligence.

On the day

25. Cancer Research UK asks that all participants along with their supporters refrain from smoking at the events.

26. Cancer Research UK asks that all participants along with their supporters do not use aggressive or abusive language or behaviour towards our organisers and volunteers.

27. Due to safety restrictions, at venues where two of our events are taking place on the same day, Cancer Research UK reserves the right to refuse entry to those participants taking part in the wrong event.

28. Race for Life 5k & 10k participants can take part with their dogs at a wide selection of our venues. However, Race for Life Pretty Muddy participants cannot take part with their dogs as the courses are unsuitable. We would ask that you be a responsible dog owner when bringing your pet to an event. Please ensure:

  • Your dog is kept on a lead, under close control at all times, and any usual equipment (muzzle / harness etc) used to control your dog is employed on the day.
  • That your dog has a collar with a clearly identifiable tag.
  • You bring adequate water supplies for your dog to keep them hydrated.
  • If your dog fouls, please "scoop the poop".
  • Abide by the instructions given by the Event Manager and officials on the day to include starting the event at the back of the walkers if required

A number of our Race for Life venues do not permit dogs on site. To confirm whether your chosen event allows dogs, visit your event venue page on the Race for Life website or call our hotline on 0845 600 6050 before entering.  

29. First aid facilities will be provided at the events. Participants consent to their details (which will be obtained by medical providers if participants are treated by them at an event) being passed to Cancer Research UK. Cancer Research UK shall only use these details for administration and health and safety purposes and to fulfil its legal obligations, including those under the Reporting of Injuries, Diseases and Dangerous Occurrences Regulations 1995. All medical details will be securely held by Cancer Research UK on the Cancer Research UK Accident Database. The information will be handled in accordance with the terms of the Data Protection Act 1998 and for further information please see our privacy policy.

Race for Life 2013 prepay vouchers

30. Each voucher may be redeemed for a place for an eligible person (see above for eligibility criteria) in any one of the Race for Life 5k or 10k or Race for Life  Pretty Muddy events taking place in 2014.

31. Vouchers may be redeemed on the Race for Life website, or by calling our Hotline on 0845 600 6050, during the Race for Life 2014 registration period. The 2014 registration period will close 2 days before the final Race for Life event.

32. Each voucher may be redeemed by any person (who need not be the person who purchased the voucher) provided that person is an authorised recipient of the voucher.

33. Participation in Race for Life 5k & 10k and Race for Life Pretty Muddy 2014 events will be subject to these Race for Life Rules .

34. Cancer Research UK cannot guarantee availability of places on any particular event.

35. Cancer Research UK may at its sole discretion, in relation to a request received by it no later than 30 November 2014, provide a full refund for vouchers not redeemed at the close of the 2014 registration period. No refunds will be paid in respect of any request received after 30 November 2014.

36. Cancer Research UK reserves the right, in the case of force majeure or circumstances beyond its control (in particular technical problems with the Race for Life website) to modify, suspend or cancel the use of vouchers.

37. Cancer Research UK will not be liable to the voucher purchaser or any other person if a voucher is lost, deleted or stolen.

38. Corporate vouchers cannot be used over the phone, online process only.

39. These voucher terms and conditions are governed by the laws of England and Wales.

40. The voucher promotion is run by Cancer Research UK.

Merchandise

41. If your merchandise does not reach you before your event day, you are entitled to a refund as long as Cancer Research UK received your order at least 28 days prior to your event date. Merchandise is usually dispatched within 14 days, but please allow up to 28 days for delivery.

42. Refunds and exchanges can only be offered on merchandise returned in their original condition within fourteen days of delivery except where such goods are faulty, in which case you should send them to us as soon as possible. If you purchased merchandise with your Race for Life entry, we are only able to refund on the price of the merchandise. Your merchandise refund will be processed once the goods have been received at the returns address as outlined on the returns form (provided to you with your merchandise). It is the responsibility of the participant to ensure all returned goods are received at the returns address. Your statutory rights are not affected by this.

Entry fees

44. Entry fees for Race for Life and Race for Life Twilight 2013 are as follows:

  • £14.99 for girls who are 16 years old or older on the day of the event (not when applying to enter Race for Life)
  • £10.00 for girls who are between the ages of 6 and 15 years old on the day of the event (not when applying to enter Race for Life).
  • £10.00 for boys between the ages of 6 and 12 years old on the day of the event (not when applying to enter Race for Life)
  • Children under 6 years old are free of charge

45. Entry fees for Race for Life Pretty Muddy are as follows:

  • £14.99 for girls who are 16 years old or older on the day of the event (not when applying to enter the event)
  • £10.00 for girls who are between the ages of 13 and 15 years old (inclusive) on the day of the event (not when applying to enter the event).

46. Entry fees are fixed unless a promotional or corporate voucher is used which covers all or some of the entry fee.

47. Entry to an event through a Cancer Research UK shop is only valid after full payment of the entry fee.

Groups

48. A group entry can only be associated with a single event; a new group will need to be created if any group wishes to enter multiple events.

49. Once a group has been set up you cannot change the event to which it is associated unless that event is cancelled.

50. Once a participant is linked with a group the participant’s link to that group cannot be removed through the duration of the 2014 series.
