Race for Life rules

General

By registering for a Race for Life 5k or 10k, Race for Life Pretty Muddy® or Race for Life Half Marathon/Marathon event (each an “Event” and together “the Events”) you agree to abide by these rules. Please check this page from time to time, as we may occasionally amend these rules and any changes will be binding on you. By registering for an Event you also agree to abide by any instructions or regulations displayed or given on the day of the event by police and officials.

All the Events are organised by Cancer Research UK Trading Limited (registered office: Angel Building, 407 St John Street, London EC1V 4AD, registered company number: 4355631), a trading company which Gift Aids its taxable profits to Cancer Research UK (and together referred to as “Cancer Research UK” throughout these Rules).

Participant Entry

1. The Events are women-only events. Cancer Research UK reserves the right to ask male participants to withdraw from any Event.

2. Each Event is also subject to various age restrictions as set out below. Participants must be able to provide proof of age on the day of the relevant Event. Cancer Research UK reserves the right to refuse entry to an Event, with no refund, to any participant is under age, or is unable to provide proof of age when requested to do so by an Event official.

3. Cancer Research UK will only accept entries to an Event on the day where we are satisfied that it is safe to do so, given that each Event has an allocated capacity that each Event team must adhere to and the contact details for all participants must be held in advance in the case of an emergency.

Race for Life 5k & 10k Participants

Girls between the ages of 6 and 15 years old

  • cannot enter individually
  • must be entered as an additional entrant, where the primary entrant is over 18 and has the permission of the parent or legal guardian of the additional entrant
  • must give contact details for the parent or legal guardian
  • cannot be a group leader

16 and 17-year-old girls

  • can enter individually
  • do not need parent or legal guardian details
  • can be a group leader
  • cannot enter participants under 16

Women aged 18 and over

  • can enter individually
  • do not need parent or legal guardian details
  • can be the primary entrant for multiple entries
  • can be a group leader
  • can be the primary entrant for an additional entrant under 16

Boys between the ages of 6 and 12 years old

  • cannot enter individually
  • must be entered as an additional entrant, where the primary entrant is over 18 and has the permission of the parent or legal guardian of the additional entrant
  • must give contact details for the parent or legal guardian
  • cannot be a group leader

Only registered participants are eligible to take part in Race for Life 5k & 10k events. Only adults and children aged 6 years old and above can be registered by paying the entry fee.

Women wishing to bring children under the age of 6 do not have to register their child and they can come along free of charge. However, please note that Cancer Research UK only has sufficient numbers of Race for Life medals to provide these to registered participants, and therefore we are unable to provide medals to children under 6 years old. For health and safety reasons parents are advised not to allow children under the age of 3 years old to play with these medals.

Race for Life Pretty Muddy® Participants

Please note that girls must be at least 13 years old on the day of their Pretty Muddy® event to take part as courses are not suitable for people younger than this. Unlike Race for Life, boys cannot take part in Pretty Muddy® events.

Girls between the ages of 13 and 15 years old inclusive

  • cannot enter individually
  • must be entered as an additional entrant, where the primary entrant is over 18 and has the permission of the parent or legal guardian of the additional entrant
  • must give contact details for the parent or legal guardian
  • cannot be a group leader

16 and 17-year-old girls

  • can enter individually
  • do not need parent or legal guardian details
  • can be a group leader
  • cannot enter participants under 16

Women aged 18 and over

  • can enter individually
  • do not need parent or legal guardian details
  • can be the primary entrant for multiple entries
  • can be a group leader
  • can be the primary entrant for an additional entrant under 16

Only registered participants are eligible to take part in Race for Life Pretty Muddy. Only women and girls who will be at least 13 years old on the day of their event can be registered by paying the entry fee.

Race for Life Half Marathon/Marathon Participants

Women and girls must be at least 17 years old on the day of their Half Marathon Event in order to take part, in accordance with UK Athletics (“UKA”) rules. Women and girls must be at least 18 years old on the day of their Marathon Event in order to take part for the same reason.

Only registered participants are eligible to take part in Race for Life Half Marathon and Marathon events. However, registered participants can nominate up to two supporters to run alongside them at a designated part of the course. If a nominated supporter is under the age of 13, they must be accompanied by someone aged 18 or over when attending the Event (but not when running with the participant they are supporting).

Entry Fees

1. Unfortunately, given the limited number of spaces for each Event, all entry fees are non-refundable unless Cancer Research UK materially changes an Event in terms of venue, time and/or date and you are no longer able to attend, or if we cancel an Event altogether.
Race for Life 5k and 10k

  • £14.99 for girls who are 16 years old or older on the day of the Event (not when applying to enter Race for Life)
  • £10.00 for girls who are between the ages of 6 and 15 years old on the day of the Event (not when applying to enter Race for Life).
  • £10.00 for boys between the ages of 6 and 12 years old on the day of the Event (not when applying to enter Race for Life)
  • Children under 6 years old are free of charge

Race for Life Pretty Muddy® 5k and 10k

  • £19.99 for girls who are 16 years old or older on the day of the Event (not when applying to enter the Event)
  • £10.00 for girls who are between the ages of 13 and 15 years old (inclusive) on the day of the Event (not when applying to enter the Event).

Race for Life Half Marathon

  • £24.99 for girls who are 17 years or older on the day of the Event (not when applying to enter the Event)

Race for Life Marathon

  • £39.99 for women who are 18 years or older on the day of the Event (not when applying to enter the Event)

Please note that entry fees for Marathon and Half Marathon Events also covers entry into a Race for Life 5k and 10k of that participant’s choice in the same year.

2. Entry fees are fixed unless a promotional or corporate voucher is used which covers all or some of the entry fee.

3. Entry to an Event through a Cancer Research UK shop is only valid after full payment of the entry fee.

4. Your place at an Event will not be confirmed until your payment has been processed and you have received an email from us acknowledging that a place has been saved for you at the relevant Event.

Race for Life Early Bird Vouchers

1. Each voucher may be redeemed for a place for an eligible person (see above for eligibility criteria) in any one of the Events, save that early bird vouchers may not be redeemed for a place at a Race for Life Half Marathon or Marathon Event.

2. Vouchers may be redeemed for Events on the Race for Life website, or by calling our hotline on 0300 123 0770*, until the deadline stated on the voucher.

3. Each voucher may be redeemed by any person (who need not be the person who purchased the voucher) provided that person is an authorised recipient of the voucher. This excludes Race for Life Half Marathon/Marathon participants, where the Race for Life 5k or 10k event voucher code they are provided with is non-transferable and must be used by them only.

4. Participation in each Event will be subject to these rules.

5. Cancer Research UK cannot guarantee availability of places on any particular Event.

6. Cancer Research UK may at its sole discretion, in relation to a request received by it no later than the deadline stated on the voucher, provide a full refund for vouchers not redeemed at the close of the relevant annual registration period. No refunds will be paid in respect of any request received after the deadline stated on the voucher has expired.

7. Cancer Research UK reserves the right, in the case of circumstances beyond our control (in particular technical problems with the Race for Life website) to modify, suspend or cancel the use of vouchers.

8. Cancer Research UK will not be liable to the voucher purchaser or any other person if a voucher is lost, deleted or stolen.

9. These voucher terms and conditions are governed by the laws of England and Wales.

10. The voucher promotion is run by Cancer Research UK Trading Limited.

Groups

1. A group entry can only be associated with a single Event; a new group will need to be created if any group wishes to enter multiple Events.

2. Once a group has been set up you cannot change the Event to which it is associated unless that Event is cancelled.

3. Once a participant is linked with a group the participant’s link to that group cannot be removed through the duration of that annual Race for Life series.

Access

1. All participants wanting to take part in an Event in a wheelchair must refer to the hotline or visit their Event page on the Race for Life website to see whether the course can accommodate wheelchair access. Please note that, regrettably, Race for Life Pretty Muddy courses are not suitable for wheelchairs.

2. Unfortunately, mobility scooters are not allowed to take part in Events. The health and safety of our participants is very important to us and we cannot guarantee that each type of mobility scooter will be able to manoeuvre all course routes.

3. Participants can take part in certain Race for Life 5k & 10k with prams/strollers. All participants who are bringing a pram/stroller to the event should use the pram/stroller to accommodate their child and follow instructions given by the Area Event Manager and officials on the day to include starting the event at the back of the walkers to ease congestion.

4. A number of our courses at Race for Life venues are not suitable for prams/strollers. To find out if your event is suitable, check your event page or call our hotline on 0300 123 0770* before entering.

Please note that Race for Life Pretty Muddy courses are unsuitable for prams/strollers.

Changes and Last Minute Arrangements

1. Once you have registered you are unable to transfer to another Event or (in the case of Race for Life Pretty Muddy, Half Marathon or Marathon Events) start time, without first notifying us. This is because we have strict capacity limits for each Event and start time, and for health and safety reasons we need to make sure that neither the Event nor the start time exceeds its individual capacity. If you do wish to transfer to a different Event or (where applicable) start time, please call our hotline on 0300 123 0770* and we will endeavour to support your request. In the event that we can accommodate your request you will incur a £5 administration charge to cover the administration of the transfer and the cost of the production and distribution of their new Race pack. This will include your new running number and Event details.

2. For safety reasons participants arriving late must abide by the instructions and decisions of the Event Manager or their representative at the admin tent; for health and safety reasons it is possible that latecomers will not be permitted to take part.

3. Cancer Research UK reserves the right to refuse entry to participants who try to take part in the wrong event distance or start time without prior approval (see rule 1 above).

4. Cancer Research UK reserves the right to reduce or alter Event courses to accommodate any unexpected complications on the day that may have an impact on Cancer Research UK staff, participants, volunteers and spectators.

Conduct

1. Cancer Research UK respectfully asks that all participants and supporters do not use aggressive or abusive language towards our organisers, marshals, officials and volunteers.

2. Cancer Research UK asks that all participants and supporters refrain from smoking at all Events.

3. Cancer Research UK respectfully asks that all participants and supporters to use the litter and recycling facilities available within the venues and around the course. Please do not drop litter, but carry it with you until you can dispose of it responsibly.

4. Due to safety restrictions, at venues where two of our Events are taking place on the same day, Cancer Research UK reserves the right to refuse entry to those participants taking part in the wrong Event.

5. Race for Life 5k & 10k participants can take part with their dogs at a wide selection of our venues. However, Race for Life Pretty Muddy and Race for Life Half Marathon and Marathon participants cannot take part with their dogs. We would ask that you be a responsible dog owner when bringing your pet to an Event. Please ensure:

  • your dog is kept on a lead, under close control at all times, and any usual equipment (muzzle / harness etc) used to control your dog is employed on the day.
  • that your dog has a collar with a clearly identifiable tag.
  • you bring adequate water supplies for your dog to keep them hydrated.
  • if your dog fouls, please "scoop the poop".
  • abide by the instructions given by the Event Manager and officials on the day to include starting the event at the back of the walkers if required

A number of our Race for Life venues do not permit dogs on site. To confirm whether your chosen event allows dogs, visit your Event venue page on the Race for Life website or call our hotline on 0300 123 0770* before entering.

6. Cancer Research UK reserves the right to ask participants to leave the Event if they do not adhere to these rules.

Health & Safety and Medical

1. All the Events are non-competitive, non-UKA accredited walks, jogs or runs. Cancer Research UK will therefore allow under 16-year-olds to participate in Race for Life 5k and 10k Events, but they must be accompanied at all times by their parents or legal guardians (or by a primary entrant who has the permission of that participant’s parents or legal guardians).

2. Any participant unsure of their physical ability to take part in an Event must seek medical advice from a General Practitioner prior to the Event. It is not advisable for pregnant women to participate in Race for Life Pretty Muddy events, and it is recommended that they should consult their General Practitioner before taking part in a Race for Life Half Marathon or Marathon Event.

3. Participants are responsible for ensuring that they are wearing appropriate attire (including footwear) when taking part in an Event, taking into account the nature of the Event, the weather forecast and the terrain involved.

4. All Race for Life Pretty Muddy Events contain obstacles consisting of structures and/or inflatables as part of the course, and some Events also feature natural water obstacles. Participants may elect to avoid any such obstacles if they so wish.

5. All participants (including nominated supporters when running during the Half Marathon/Marathon Event) must write the following on the reverse of their official Race for Life number, which must be worn on the front of shirts during the Event:

  • their name
  • the details of any health problems or current medication
  • the name and number of a person to contact in case of an emergency

To help Cancer Research UK save money, please also remember to bring your safety pins!

6. First aid facilities will be provided at the Events. Participants consent to their details (which will be obtained by medical providers if participants are treated by them at an Event) being passed to Cancer Research UK. Cancer Research UK shall only use these details for administration and health and safety purposes and to fulfil its legal obligations (including those under the Reporting of Injuries, Diseases and Dangerous Occurrences Regulations 1995). All medical details will be securely held by Cancer Research UK on the Cancer Research UK Accident Database. The information will be handled in accordance with the terms of the Data Protection Act 1998 and for further information please see our privacy policy.

7. In the case of an emergency, participants agree that Cancer Research UK may pass the personal details provided by a participant to the emergency services and/or health care professionals, and use them for the purposes of contacting a participant’s emergency contact.

8. Cancer Research UK takes all reasonable steps to minimise the risk of injury to participants during fundraising events. There is a stringent risk assessment process in place for each and every Event which aims to minimise or eliminate the risk to everyone taking part. By taking part in an Event, all participants acknowledge that there may be conditions or circumstances beyond our control that can lead to unforeseen risks. If you have any concerns or queries please contact us before agreeing to take part in an Event.

9. Cancer Research UK reserves the right to refuse entry to an Event if for whatever reason it deems a person unfit to take part.

Sponsorship Money and Donations

1. All participants have a legal responsibility to ensure that all sponsorship monies/donations received in connection with an Event are paid to Cancer Research UK, and we ask that you do this as soon as possible after the Event. You can:

  • pay in your sponsorship money online with your credit or debit card, or call us on 0300 123 0770* with your credit or debit card details.
  • Send cheques made payable to "Cancer Research UK" to:

2. Please note that we are unable to accept your sponsorship money on the day of the Event as Cancer Research UK does not have the suitable cash handling facilities to fulfil this process.

3. Please ensure that all sponsorship forms are returned to Cancer Research UK to enable us to claim Gift Aid where possible.

Filming and Photography at the Events

1. By taking part, all participants, volunteers and spectators confirm that they are happy for their names and any video footage, stills or photographs taken during their participation of the Events by Cancer Research UK or our third party partners to be used to publicise the event, by Cancer Research UK for commercial and fundraising purposes and by our third party partners for their own commercial and marketing purposes. This may include, but is not limited to, television broadcasts, publications, marketing material and other documents that may be made available to the public.

Photographs of children will not be used in this manner without a parent’s or legal guardian’s written consent. However, we may use images where children are incidentally included for example, of mass participation in the warm-up exercises or on the starting line. No personal details (including names) of an under 16-year-old participant will be used in any publicity materials without the written consent of their parent or legal guardian. We will not provide participants’ personal details to third parties.

2. By registering a participant under the age of 16 (or allowing an under 16 year old to take part in an Event), you confirm that their parent/legal guardian is happy for their images to be used in the manner described in these rules.

3. Cancer Research UK and its authorised partners may appoint third party photographers to take photographs at the Events. All participants agree that their photographs may be sent to them, to other people featured in their photographs and to children’s parents/legal guardians where children are featured in their photos.

Sportcam

1. We appoint independent third party photographers, SportCam Limited, to take photos at the Events. Their service includes taking photos of participants at the event and uploading them on their website, www.sportcam.net, which is open to all members of the public, and upon payment (a proportion of which is donated to Cancer Research UK), they can download photographs or receive prints. Please refer to SportCam’s terms and conditions or privacy policy for further information.

2. If you do not wish your photograph taken, please tell the photographer on the day.

3. All SportCam and third party photographers at the Events have been instructed to ask for parental/guardian permission before taking any individual photographs of children at the event. Whilst photographers/videographers will try to obtain parental/legal guardian’s consent before taking images where children are more than just incidentally included, this cannot be guaranteed. This does not include photography of crowd shots, when permission will not be sought.

Liability

1. Use of the Race for Life website is subject to our website terms and conditions.

2. All participants enter an Event entirely at their own risk. Cancer Research UK shall not be liable for any injury or loss to participants or their property that might occur as a result of their participation in an Event, other than in respect of any injury or loss arising as a result of Cancer Research UK’s negligence.

3. All spectators attending an Event do so entirely at their own risk. Cancer Research UK shall not be liable for any injury or loss that might occur as a result of their attendance other than in respect of any injury or loss arising out of Cancer Research UK’s negligence.

Merchandise

1. All purchases of Race for Life merchandise from the Race for Life website are subject to our terms and conditions. If you have any queries or complaints about your merchandise please contact us on 0300 123 0770*.

2. We will pass on participants’ full names (but no other contact details) to a partner organisation who will print a limited edition T-shirt with your name. You will be able to purchase this T-shirt at the relevant Event if you wish. If you would prefer that we did not pass on your details, please call 0300 123 0770*.

* Our lines are open Monday to Friday from 8.00am to 9.00pm, and on weekends and bank holidays from 9.00am to 5.00pm. Please note that calls to our hotline may be monitored or recorded to allow us to maintain our standards of customer service.

Race for Life Schools

1. I am at least 18 years old and I agree to organise a Race for Life Schools event as an independent supporter of Cancer Research UK (the “Event”). I agree to organise the Event in a proper and professional way, having the safety of the participants in mind at all times as the main priority.

2. I agree that any costs or risks that arise out of the Event that I organise are my responsibility and I shall ensure that the Race for Life Schools Event is organised safely.

3. I agree that Cancer Research UK and its subsidiaries (such as Cancer Research UK Trading Limited) (together “CRUK”) shall not be liable for any injury, damage or loss howsoever suffered by me, the participants, the spectators or any other third party as a result of the organisation of or participation in the Event (other than in respect of death or personal injury arising as a result of CRUK’s negligence or any other liability that may not be excluded as a matter of law).

4. I am aware that Cancer Research UK’s insurance policy will not cover the organisation of and participation in the Event. I will consequently arrange for appropriate insurance cover to be put in place.

5. I will not do anything that threatens Cancer Research UK’s reputation or name, and if I do, Cancer Research UK can require me to cease fundraising immediately.

6. I agree to only use CRUK’s branded materials for the purpose of the Event.

7. I will ensure that all participants and spectators of the Event (and parents/legal guardians where such individuals are under the age of 16) are aware of and agree to the following before attending the Event:

  • it is not CRUK’s intention to photograph or video individuals at the Event but should it wish to do so, CRUK will arrange to obtain consent to do so beforehand; BUT
  • there may be photos or videos taken by others at the Event over whom CRUK has no control.

8. I agree that where children under the age of 16 wish to participate in the Event I shall obtain the prior written consent of their parents or legal guardians.

9. I agree that due to health and safety reasons, I shall not give any medals provided to me by CRUK to any child under 3 years old and I will advise parents not to allow children under the age of 3 years old to play with these medals.

10. I agree that all monies raised in connection with the Event will be held on trust for Cancer Research UK and that I have a legal responsibility to pass these to Cancer Research UK.

11. I agree to pay all monies raised in connection with the Event to Cancer Research UK as soon as practicable after the Event and I will not deduct any costs incurred from these monies. Monies raised can be paid:

  • by setting up an online sponsorship page
  • by calling Cancer Research UK on 0300 123 0770; or
  • by sending a cheque made payable to "Cancer Research UK" (stating your unique reference number on the back) to Race For Life, PO Box 1579, OXFORD. OX4 9HX

I will ensure that all sponsorship forms are returned to Cancer Research UK to enable it to claim Gift Aid where possible.
